August 13, 2017 POF HOA Meeting minutes

Post Oak Forest HOA board meeting was held  August 13, 2017. Meeting was called to order at 7:05 PM.

 Attendees were Carol Scamardo, Antonio Garcia, Kenneth Johse, Jack Benson, Debra Ware, Laura Hendler, Tom Ostrowski and Laine Totah.

 1. GENERAL:

      Antonio is stepping down as treasurer effective September 1st.  Kenneth will be assuming the position. We thank Antonio for his hard work over the last few years.  Laura Doskocil is moving and will be leaving the board by the end of the year.  We need to start looking for a replacement.

 2. SEMINAR BY CAI (Community Association Institute):  Antonio and Debra attended the seminar and gave a synopsis of new HOA rules that might be coming in the future. 

 3. ROAD REPAIR STATUS:   Work is continuing. Contractor reassured that work will be completed prior to football season.   We have enough treasury funds for this expenditure.  We discussed the two proposals for the new front sign, irrigation and landscaping.  The city of CS has committed to reimbursement up to $10,000 for this project (50% match on each dollar spent up to $20,000)  We voted to go with Husfeld contractor.  Tom will sign contract and send to Barbara Moore at the city to ensure the funds are set aside for our project.  This work will begin after road completion.  We voted to spend total of $20,000 and turn in to city.  We will finish the remainder of the work after funds in treasury have been replenished via HOA dues collections.

 3. ARCHITECTURAL CONTROL COMMITTEE:  Various current projects were reviewed.  A notice will be sent to one owner regarding a painted front door that was not sent in for color approval.

 4. REVIEW OF AND REVISIONS TO BY-LAWS AND CCR’s:  Tom and Kenneth are still working to identify some of the areas that need to be addressed.

5.  SITUATION AT HEAVY TRASH PICK-UP AREA: We discussed the continual dumping of items that are not enclosed in trash bags, paint cans left, etc.  Ideas to alleviate this situation were discussed but no decisions made.

 6.   POOL:   Jack noted there have been some late night parties.  We need to put out a reminder to all regarding pool rules and etiquette.

 7.   GROUNDS:   Some sprinkler lines were cut during road work.  Antonio and grounds crew will get these fixed. 

 8. FUTURE PROJECTS – we are planning these for next year.

 a. Repair/replace roof structure at pool pump house. Cost: $3K – $6K

 b. Install low fence at back of parking pad near mail boxes to screen heavy trash. $3K – $5K

 c. Install and set up simple sprinkler timers at unit that currently require Antonio to manual turn on the water.

d. Continue cutting back trees next year.  This should probably be done every year as regular maintenance.

 9. HOA DUES:  We discussed whether we will need to increase these next year.  At this time to board voted to keep the dues the same for next year.

 10. HOA Misc:  Laine will begin posting HOA board meeting notices and agendas            on the web site. Green folders with POF information should be given to all new owners.  Carol has these.  Owner in #28 would like one .
